Design a respectful follow-up sequence

Start with an immediate acknowledgement when appropriate, then a human review and a limited sequence of helpful reminders. Honor consent and opt-out preferences.

A practical small business example

Example: new inquiry → assign owner → acknowledge receipt → schedule a human response → stop reminders when the lead replies. Avoid sending duplicate messages from separate tools.

Questions to ask before changing software

  • Who owns this step when an automation fails?
  • What data or permission is needed before a message is sent?
  • How will we measure whether the process improved?
  • What will this workflow cost to operate and maintain?
